    Capital Campaign

    We are in the process of setting up prospects for our campaign. Does anyone have any procedures that they are willing to share? What information do you track? What are some of the Action Type and Status do you use? Any information is greatly appreciated. Thanks in advance.

    I'm not exactly sure what sort of information you are looking for. Can you be a little more specific about what you would like to know? Are you trying to identify what prospects should be pursued in this campaign? If so I have a couple of ideas that I can share.

    For action types, we use the following types: Identification, Qualification, Solicitation, Gift Negotiation, Gift Closure, Stewardship, and Patient relations. For Status, we use Activity and Move. I have a sheet that I can send to you that describes what each action type and status type means.

    Capital Campaign

    Here are some very basic instructions that we use: CHRMC Foundation & Guild Association PROPOSAL DATA ENTRY IN RAISER’S EDGE Each proposal has several components that must be filled out correctly. They are: 1) Reason – reflects the reason for the ask. At this time, there are only two valid reasons. a. Campaign ask – meant to show those one-time asks for the campaign b. Annual ask – meant to show those annual asks made for grants, etc. While all gifts are counted for the campaign, these are asks that would be made anyway 2) Name – reflects the type of donor being asked. These groups include: a. Hospital Board b. Foundation Board c. Guild Board d. General (for donors not part of a group, but still campaign asks) e. Foundations (for those annual asks) 3) Purpose – reflects the purpose of the ask. Purposes might include: a. Research b. Capital c. Uncompensated Care d. Child Life, etc. 4) Status – reflects the status of the ask a. Yes b. No c. No not Now d. No 5) Amount asked – reflects the total amount of the ask 6) Date asked – it is important to include this date, especially if there are multiple asks 7) Amount Funded – this is the total amount of any outright gift or pledge plus the total of an irrevocable deferred gift, regardless of what portion of it is bookable for Finance. It does not include revocable deferred gift dollars. 8) Date Funded – date we received the answer All campaign asks must have the following fields included in the attribute tab of the proposal: 9) Ask Outright – the total asked for an immediate gift 10) Ask Deferred – amount asked for deferred (estate, etc.) 11) Outright Gift – the amount the donor has agreed to for an outright gift 12) Deferred Gift – the amount the donor has agreed to for a deferred gift Even if a donor is not asked or does not give a deferred gift, please include those attributes with a $0. Solicitors are included on the tab. This should be all those involved in the ask, not necessarily just the primary.
