Tracking Expected Gifts (Pre-pledges) with "Other" Gift Type

    Tracking Expected Gifts (Pre-pledges) with "Other" Gift Type

    I would like to be able to track "expected" gifts (gifts that are expected but have not yet been pledged) using the gift type so that I can produce a Gift Detail and Summary Report that shows gifts, plegdes, and expected gifts against campaign goals. Is there a way to manipulate the "Other" gift type to act like a pledge so that it does not assume money has already been received (so that these gifts get treated like plegdes or pre-pledges)?

    Failing that, do you have other creative ways of tracking "expected" gifts so that they can be tracked along with pledges and other gifts against campaign goals?

    I'd love to hear about your strategies. . .

    I use a gift attribute on the pledge to track verbal pledges. Fundraisers are keen on including as much money as possible on reports, so not entering not was not an option, but it allows me to remove them if I print cash flow reports.     For my Capital Campaign I added a fund under the campaign umbrella that mirrored the real fund and simply added SOFT to the end of the description. I put all soft pledges there - if they became real pledges I simply changed the fund on the gift record. This allowed for allowed for easy exclusion or inclusion in financial reports. It also kept all the soft pledges grouped together nicely. [Email Removed] Chadwick School, California

    The prospect tab is an optional module called RE:Search. You only have it if your organization paid extra for it. That's why some people can't record pledges this way. *** I can spell, I just can't type. Where is spell check? Melissa S.     I use the gift type Other with a subtype of Verbal Pledge. I can then include or exclude it from reports. When the pledge actually comes in, I just remove the verbal pledge record and enter the actual pledge.

    My method is closest to Genevieve's, but I use Pledge as the gift type and "Undocumented" as the gift subtype (as opposed to an attribute). When we receive written confirmation of the pledge I change the subtype to "Documented." Here's a question for the group: do you change the Gift Date to the date the written confirmation is received or leave the date as the day the verbal pledge was made?     Thanks, all, for your help with this. I've implemented Genevieve and Bill's method of tracking pre-pledges using pledge as a gift type and "**Expected Gift**" as a gift subtype. I like this method because it allows me to treat these gifts as promised money and not as money that's been received in canned reports. I do want to include them in reports like the Gift Detail and Summary Report and I also them to appear in their own section of the report and so I use a query to sort by gift type, gift subtype and then I sort by query order and pull in gift subtype as a column.
