    End of Year Tax Letters to all Donors

    The laws may be different in Australia, but to our recurring givers we only send one receipt at the end of each financial year. We set each donor with a Receipt type of Consolidated Receipts and then use Mail/Receipts with a Receipt type of 'Use custom data file' to create our own letters with an attached receipt on the bottom pf each page.

    We do prepare a year-end tax contribution statement that includes cash-only gifts. No gift-in-kinds are included. The initial query gathers the records, then is run through Export. The exported data is merged into a Word form. A special shell of a contribution form has been developed on which the Word merge is printed. I'm sure there is an easier way to do this, but we have used this set-up for years and now it only takes minutes to run and print: update query dates and save, export and merge, and finally print.     We use the same method as described by Rosalind (ie RE Mail - Receipts- Custom Data - Word Merge) and find it simple and straightforward.     Hi: We use a solicit code "Year End Acknowledgement" A query has been set up based on this solicit code that gathers the donor's gifts for the calendar year. I then run my letters through Mail. This works well for us.

    I agree with Harriet that the consolidated receipt type on Bio 2 is a great way to code these donors. I don't see the need to add another code. I also run the letters through Mail but not having a filter of consolidated receipts vs. one receipt per gift in mail seems like a huge oversight. I feel silly needing a query for my daily receipt runs to be sure that my consolidated receipt people do not accidentally get receipted. *** I can spell, I just can't type. Where is spell check?     You have to use the BIo 2 consolidated receipt, but when I enter the pledge, I also enter an attribute of Annual receipt. When running my daily receipts, I always exclude tht attribute. At year end, I run receipts and include annual receipts. Seems the most efficient way for me.

    I agree with Melissa there should be a filter in Mail that allows you to exclude consolidated receipts from daily/weekly batch runs. I've solved this problem by adding an attribute category called Receipt Type. It's a drop down table but there's only one choice under description - Annual receipt. We only add this attribute to those donors who receive a consolidated receipt. When we run our weekly thank you letters and receipts, we exclude this attribute type.     [oops, never mind, it was answered -- I only get the previous day's postings].I really don't understand how to run the consolidated receipts, since Mail updates the gift record as receipted. How do you receipt each gift for donors who want that, then run a consolidated receipt at the end of the year for recurring gifts, etc.?     Are you saying that donors want both - a receipt with each gift - and an annual statement? They can't have their cake and eat it too. Mail rightfully allows you to only receipt a gift once - either at the tiem of the gift or consolidated once a year. *** I can spell, I just can't type. Where is spell check? Melissa S.     We just have a general letter that states "Your Tax information is enclosed" and include the Annual Statement Report from the Financial Reports in Reports. It has worked great for us. Kamong Riddick

    I don't know if this is the recommended process or not but it works well for our organization. I use one query for our daily deposit entries and run it through Mail, Donor Ack Ltrs. Under exclude solicit codes I put the solicit codes for people who do not wish an ack or only want one at year-end. At year-end, I have one query that summarizes the donor's giving during the previous year and I again run that through Mail, Donor Ack Ltrs, using a different template.     This is precisely why we've set up a yearend report in Crystal. Our donors CAN have their cake & eat it too!! We do not send out monthly receipts for our monthly giving programs; but if those in a monthly program happen to give a commemorative gift or attend an event & make a donation, we certainly want THOSE particular gifts receipted right away. So we use the "one receipt per gift" option on Bio 2 and grab that group at the end of the year for an additional consolidated receipt/statement. It works for us!
