    Receipting Canada

    Recently, it came to my attention that our database was not the Canadian Version. We did not have the option to re-issue receipts. We downloaded the utility to stamp our database Canadian and now are having trouble with receipting. We ran one batch of receipts after the update and then when the next batch was to be run, Raisers Edge wanted to use the same start receipt number as the first batch that was run. If we force the system to start at the correct number it tells us that we will be skipping receipt numbers and do we want to continue? If we say yes, RE continues on and will mark them receipted but the system shuts down without printing receipts. Blackbaud has told me that I now need to start using receipt stacks, which we have no reason to start to use and I am hesitate to do this. Does anyone have any ideas, about this problem

    Hi I assume that after the first batch, you marked the gifts as "receipted" and then saved the receipt file in Mail? That should have moved the next available receipt number up. If you do not save the mailing, the receipt numbers will duplicate the next time you run a new batch of receipts. I don't think that you need to use Receipt Stacks unless you will be duplicating receipt numbers on purpose.

    Thanks Anne Marie, we did mark the gifts as receipted and still RE does not recognize this. Maybe you could email me directly if you have any suggestions. [Email Removed] Blackbaud told me that I need to review the Canadian Receipting laws, which I know. And that I need to use receipt stacks. I still do not believe them.

    We just started using RE7 in September, and the same thing happened to me last month. My receipts suddenly skipped from 19000 to 90000. Raiser's Edge was not surprised, and told me that skipping receipt numbers is something that will happen, and advised me to stop using pre-numbered receipts. So I had to waste 1500 pre-numbered receipts and order all new receipts. I'm not crazy about just letting RE7 number the receipts, but I'm keeping a close eye out to make sure every number is accounted for. I called CRA when this happened, and they just had me send them a fax explaining why there was such a big jump in my receipt numbers.     Thanks for your response Bryna. We have RE number the receipts for us. But do you use Receipt stacks?

    we don't use receipt stacks either, but now Blackbaud is suggesting I start. We have no reason to start using them, and I since we loaded the utility to stamp our database the Canadian version, I can not run receipts without our system crashing. Does anyone have any suggestions?

    I don't really see how Receipt Stacks will help if RE does not update the next available receipt number. I would persue this more with BB because we do not currently use receipt stacks and are able to print receipts with the proper advancing numbers. RE does crash though, if we do more than one batch of receipts at a time. I have to exit and log out after each run. You didn't say if you SAVED the mail file after your run - that is what updates the receipt numbers, not just marking them receipted. Anne Marie

    Thanks Anne Marie, I am not really sure what you mean by saving the receipt file. We run the receipts through RE:Mail, merge it out to a word document. We have always done it this way. The only thing that has changed since is the fact that on Friday we had a utility upgrade to stamp our database Canadian. The first receipt run worked fine and then after that we had problems. Thanks for any help anyone can provide

    When you are in RE:Mail do you use a custom receipt and the Word Merge Wizard? What I mean by saving is when you are in Mail you must save and name the receipt run not just exit or it will not update the receipt numbers. If you are doing this, then I'm not of much help! I am also not sure what you mean by "stamping your database as Canadian". Perhaps there is something in the utility which is interfering. We have used the Canadian version of RE since they created one, so we have not had to "stamp" our database. Anne Marie

    We use custom receipts and merge it to word yes. I would think that the mail file would have been saved, I will double check with our data entry person.. The database we were using was the US version. Whether our IT department downloaded the wrong update at some point or Blackbaud originally gave us the wrong copy I don't know. It is very difficult to distinguish between the two versions, because of the small differences. Thanks for any and all help.

    Well you have also helped me by alerting me to the fact that there may be a problem with receipts with the new updates. If this happens to us (not advancing to the new receipt numbers, or skipping receipt numbers) we will definitely not be happy campers!! And although we will probably be switching to receipt stacks in the future, we have no use or reason for them now. I sincerely wish you good luck.
