For our Major Gift ($50K+) donors we just started sending an annual "reminder" this year. It's more of a statement, than a reminder - a really nice, grateful letter saying that their original pledge was X, we've received the following payments & the balance is Y. For smaller pledges, we run a report quarterly & based on their installment schedule, decide who should actually get a reminder. It's difficult to automate this process because each donor has a different installment schedule; some are quarterly, some are monthly, some are annually. And most of our donors do NOT pay according to their installment schedule anyway - they make a payment whenever they want. The system we've come up with seems to work best for us. I send them out monthly for the next month which picks up monthly, quarterly, annual, etc. Usually, I will run them on the 15th or, if the days have been quite hectic like this month, I hope to mail them today. FONDA MATHIS: We send them out monthly for our major capital campaign donors and quarterly for the smaller donors.

I assign an appeal of "Pledge reminder #1, 2, etc." each time. Needless to say this is somewhat time-consuming, nut pays off because we can tell how many reminders they've received for a particular installment. The smaller donors almost always respond after one or two reminders. The major ones sometimes need a personal contact if they haven't responded to 3 or 4 reminders, to determine what's going on.
