    Ask Query and Export Criteria

    I want to Print a report from Crystal of various Note Types within a period of time. I create a Query with Note Type = (ask) and Note Date = (ask). When I run the Query I select the Note Type Equals whatever and Note Date Between start date And end date. I am told that before I ever run this Crystal report I must change the Export Criteria to reflect the Note Type and Dates selected in the Query. This seems awfully redundant to me. What is the purpose of (ask)? The Query runs before the Export. Doesn't the Export work on the Subset result of the Query? Thanks, Dan Enright Winthrop U.     Query will group the constituent records together that MEET the query criteria; Export will export out any information on the population created from your query - so yes you have to define what is being exported on the population you created in query.     I love using Ask queries in Export. It is much easier than creating bunches of queries for similar exports that just vary on one or 2 criteria. I'm not sure what problem you're having regarding using these exports in Crystal. *** I can spell, I just can't type. Where is spell check? Melissa S.     Ask Query and Export Criteria

    The Export does work on the Subset result of the Query, but the subset is records of the Query type. In other words, if you are running a Constituent Query, it will return the Constituents who meet the criteria; a Gift query will return Gift records; etc. It does not pass any information about child objects such as Notes, particularly whether those child objects were included in and met the query criteria. It would be difficult for an object-oriented approach to pass anything other than just the parent object. Even if it were relatively simple, it would take a lot of effort to rewrite the existing code base to accommodate this drastic a change in approach. I know that's a lot of techie talk, but I hope that it explains both what the purpose of the (ask) is and why it must be repeated in the Export. Drew J.     Thank you Drew for your "techie talk" answer. I don't fully understand your response. Are you saying that all the Query returns is the Constituent ID of those people that have Note Types Equal whatever and Note Date Between start date and end date? Thanks, Dan Enright Winthrop U. Rock Hill, SC

    That's not nice. I should be able to apply Output fields to the Query and pass them to the Export. I'm going to suggest this to BB.

    I have no problem with the fact that the query output fields don't automatically come into export. I frequently wnat my query to give me things like "who gave this year over $500 (summary total)" but then I want to export the gifts they gave THIS year or proposal information, etc. about them. Which records you want to report on and What you want to export about them are different things. I frequently don't even create query output fields for this reason. Occasionally I will set up a few output fields to check my data but I never expect to use these fields for reporting. If you know (or even think) your query will be used in an export don't put that much time into your query output fields. *** I can spell, I just can't type. Where is spell check? Melissa S.     It would be nice to still have the OPTION to load output from query. I don't want them loaded automatically, but I frequently put in fields in my query to verify that it is pulling what I am expecting, and would like to not have to redo all of that in Export.
