    Booking Pledges to the Correct Fiscal Year

    How do you map the Raisers Edge Fund Codes to the General Ledger so that gifts are posted to the correct fiscal year? I am having problems with the following scenario: Pledge comes in in FY 06 but it is restricted to FY 07. For accounting purposes it has to be entered in FY 06 but temporarily restricted to '07. How do you set this up so it's accounted for correctly? If we open up new Raisers Edge funds for each new fiscal year, and if I map the FY 07 gifts to go to my temp restricted account in the G/L, then wouldn't I have to re-map all the codes to income accounts once the new fiscal year starts? Help! Everyone must be in the same boat, advise me!

    Sara/Annie - If a gift is received in FY 06 but is restricted for use in FY 07, then the gift is merely a Temporarily restricted gift of FY 06 that carries a Time restriction. Once FY 07 begins, the gift would be available to use for it's stated purpose, (assuming the only restriction is time). The proper accounting is to record the gift as revenue when received from the donor. The fiscal year posting to GL is going to be determined by the gift receipt date, not the restricted use date of the gift.     Yes, I'm well aware of how the gift needs to be recorded in the General Ledger. My problem is how to set up Raisers Edge Fund codes so that when pledges for a future year are recorded on the Raisers Edge side, this designation of proper fiscal year can happen, and can be "mapped" to point to the correct (Temp Restricted) account on the General Ledger. Then, when the new fiscal year begins, does the finance department have to manually make all the entries to shift the pledges into income, or is there a way that this can be triggered automatically on the Raisers Edge side? I would like to hear how others have set up their Raisers Edge fund coding so that this proper recording of pledges restricted to future years can happen. Sarah Schindler

    Sarah - A gift can be "mapped" to point to a different GL account buy using gift subtypes. Subtypes are used in assocation with regular gift types, but allow the gift to be posted to a different GL account. For example, you could have a gift subtype under Pledge called Restricted Gift, Temp Gift, whatever. The pledge would be recorded as normal, except the subtype would also be used. The gift transaction would then be pointed to a temporarily restricted GL pledge account instead of the normal GL pledge account.

    When the new fiscal year starts, fiscal would have to make a manual entry to record a "Release from Restrictions" transaction. This entry is required to move the money from Temporarily Restricted to Unrestricted. There is not a way, that I know of, to get Raiser's Edge to trip this entry in Financial Edge. - George Envision For Non-Profits
