The easiest way to globally assign an appeal?

    The easiest way to globally assign an appeal?

    Hello! We just sent out a mailing that went to just over 22,000 names/addresses from our database. How would I go back to globally assign that appeal to those records? Thank you, SH P.S. I'm still pretty new to R.E.!

    How did you create your mailing? There are several possibilities, but it may be too late to take advantage of some of them.

    My personal favorite is the use of the Segmented Mail using Quick letters in the Mail module. This allows you to use numerous queries to pull together the constituents to receive the mailing, without have to merge queries. It does the de-duping for you, and also allows you to globally add an appeal to everyone receiving the mailing.

    From within Mail, you can also, without using a segmented mailing, create an output query thta shows everyone who received the mailing. You can then feed this query into the Global Add function and add an Appeal or an Action to each one.

    Even if you didn't use Mail to create your mail file, if you have a query that contains all of them, you can use that query as input to the Global Add function.

    Hope this helps. At least it will provide some guidance for the NEXT time.

    Even if you don't have a query or anything - if the file you have that you used to create your mailing is in excel and contains the Import ID or Constituent ID you can import the appeals. Copy the excel spreadsheet to a .csv file and delete all of the columns except the ID. Add columns for the appeal ID and Date and anything else you want on the assigned appeal (comment, response, etc.) and fill them all in appropriately Go to import and there is one for constituent appeals. Set it up and run it and it should import that appeal to all of these constituents. I do this a lot when I export a "potential" list of recipients which then is combed through by hand to pick out who really will get the appeal and then I just import the final list. *** my spelling is fine, it's my typing that stinks.     I'm importing gifts but then would like to update the response and amount of the assigned appeals on the constituent records.  Any thoughts on this?  If I create an import file of all the appeals assigned for all the constituents that I just imported gifts for, I would have to delete out all the appeals for the gifts that were not imported and update the results.  Since a constituent may have multiple assigned appeals (we keep track of all the appeals someone gets) I would have to start matching up each gift reply and appeal with the assigned appeals.  Not an easy task.  Any thoughts?

    If the appeals are already assigned to the constituent and if you are importing the same appeal ID the amount given is automatically updated.  Unfortunately the response is another matter.  Could you not, however, after the gifts have been imported just create a query of assigned appeals where the amount given is greater than $0 and the response is not "donated" or whatever you use.  I have never tried it so i am not sure if you can globally update this field but it is worth looking into.

    We choose not to update response on assigned appeals because BB never added the funtionality of being able to update response during batch gift entry.  It is just too much hassle.  All of our responses are blank on that screen.  We figure if the amount given is 0 = no response and amount given >0 responded.
