We make our entries when we pay the bill. On a weekly basis, we go online to determine card activity and match up the charges to our check requests. We require a check request from the card user just as if they we asking for a check to be written. Anytime we have card activity with no matching check request, we contact the card holder and require them to fill out the paperwork. That way when the bill finally arrives, we have all the documentation for proper coding and approval.
