    Telephone Numbers

I am a new user to the Crystal Reports and I am having a few challenges. First off, I have a report that I have created for our weekly gifts of $100 or more. On this particular report I have the basic bio info for the constiutent (ie name, address, telephone). Here is the problem...if the constituent has more than one telephone type listed (home, business or email) it will duplicate the information about the gift and the bio info except for the telephone info. How can I get all of the phone types to appear under there name, address, etc.? Second problem, I have created a report for our Golf Tournament Sponosors and I have check the "keep together" for the info but it still seperates the info if needed. Any ideas on this? I have created another report and it didn't do this after I checked that box. Hope I haven't been to confusing. Please feel free to contact me directly. Thanks in advance for you help. Staci J. Staci, When writing a crystal one way to manage the report for many-to-one (i.e. phone numbers) is to create a text field. In the text field add your phone number field and the phone number type field: Home 800-469-9630 Business 888-123-4567 Another option is to create a subreport with the above information. If you are grouping by consitituent then link the main report and the sub report with the BioSortKey Elaine Tucker Stewardship Coordinator St. Mark's School of Texas www.smtexas.org [Email Removed]

Also you may have to check this box in the Selection Expert Settings too... (Thanks Drew Allen!) Elaine Tucker Stewardship Coordinator St. Mark's School of Texas www.smtexas.org [Email Removed]

I guess I am lost in what you are saying. I am very new to the crystal thing. I have it pull the phone type and it is listed next to the number or email. I am sure you are meaning something else but I am just unsure. I also am having trouble when I have more than one person/organization being soft credited. It will show up as another line with that information and if it is a split gift. Now, I am sure I have totally confused everyone. Staci J. The best way to handle MULTIPLE many-to-one relationships is to have the most important one on the main report (in this case probably giving) and have all of the others in subreports (in this case phones). There are other ways to handle this, but it gets very complicated very quickly. Drew J. Drew Allen Children's Hospital of Philadelphia [Email Removed]

Staci, Is your export a gift export or constituent export? What is your main group? Constituent or Gift? If you could provide a sample of what you want on the report that would help. It doesn't matter what type of export it is. Anytime that you have gift information on the main report, you'll probably want to move any non-gift many-to-one relationships to subreports. Otherwise your gift information will "duplicate" for multiple linked records. Drew J. Drew Allen Children's Hospital of Philadelphia [Email Removed]

Hi Staci, There is a BB Solution number that helped me with the phone numbers: BB45339. I don't know if that works for you. I have the same problem with the report separating even when I put in Keep Together. I'm going to tackle that with support as soon as I get my issue with reporting on appeals with split gifts handled (a whole other issue) Nora Isaac Manager, Information Technology The ALS Association, Greater Phila. Elaine, I unsuccessfully tried your first solution in a report I am building to show all of a client's contact information and to efficiently and accurately report their 4-year giving history. My goal is to have a report that I can print out and take with me on the road to use as a calling tool. A subreport scenario will not work and it is not acceptable for there to be multiple entries per client. I also want to minimize the number of pages I print out. If a client has a land line, a cell line and an email, the report will show separate entries and will skew the giving history totals. I hear you saying that there is no way to accomplish my goasl?  Mark Stevens, Assistant Director of Development, Boise Bible College www.boisebible.edu

    Re: Telephone Numbers

I just created a similar report for the DO's with name, home info, business info, degrees, last gift info, last action info and giving summary for hard and soft credit for last 5 years.  For the telephone numbers in export I brought over 4 different fields of phone number (similar to the way you can bring over multiple giving summary fields) and I just plugged the phone numbers into the appropriate text boxes to keep the home or business information separate.  I'll be at the RE conference next week but if you are interested I can share the crystal report.

Mark - Have you tried printing a constituent profile?? They can be customized. That's what our DO's use when calling on donors...
