    Account structure

    We are in the beginning stages of setting up the account structure in FE. Would like to see some information on the account structure used by other FE users

    Account structure

    We just use a simple fund structure xx-xxxx Fund and then account number. We have 3 funds 01, 02, & 03. Endowed, Restructed and Unrestricted. The account numbers are the standard breakdown 1000-1999 Assets 2000-2999 Liabilities, 4000 accounts revenue, 5000 & 6000 account expenses and 7001 account we use for transfers between funds.

    We use xx-xxxx-xxxx fund, acct, dept. This allows us very flexible reporting.

    Account structure

    We use xx-xxxx-xxxx 1. x=restriction 2. x=fund 3. x=account class 4-6. xxx=account number 7-8. xx-dept 9-10. xx=any additional designations (i.e.-college counseling as a sub-department of upper school) We use projects to for detail in areas where there are many sub-departments and we do not want to create so many general ledger accounts such as sports within the athletic department. This gives us a lot of flexibility in creating reports.

    Account structure

    We aligned with the Unified Chart of Accounts found at: NCCS - National Center for Charitable Statistics This is a project connected with the Urban Institute to align tas and grant reporting so that we can focus on what we do best and not have to adapting data to complete many different types of reporting. With this chart we then used a structure of ff-aaaa-ll-dd-ppp which is fund-account code-location-department-program with the project managment package to track the various grants under the programs. We gave staff a cheat sheet for purchase orders and they know to "pick" one item off of each list in each category.
