Separte systems - Adding Students to RE

I code all of my new students and parents this same way. The only problem I have is when you want to query a current parents for a certain grade level and if the student is also a niece or nephew on another record that parent record also shows up in the query. Example: A current parent also has a niece or nephew attend our school. If I query relationship class of equal to 2006 and the niece or nephew is in that grade level under relationships, it will also pick up them for my current parent query for the class of 2006. Any suggestions of how to correct that problem???

Hi Cindy, You can add "Individual Relationship" "one of" "Daughter", "Son", as one of the filters in your query and you should only have those relationships in your results. We use this type of query and it works well for us. Concie Tarantino St. Ignatius College Prep San Francisco

Debbie, we add ours with a new constituency "undergraduate 2006" after they graduate and we get that data from the registars office we add their graduation year, major, and globally change them to alumni. this allows us to query on them thru out the year and send them special mailings. Hope this helps. feel free to contact us with more questions.

I am also from a 9-12 high school. When you say you use the graduation year as the CLASS OF, where do you enter that year? (Where exactly is CLASS OF located? Under fconst. code.? Or did you create a table with a drop down menu?) I enter STUDENT as the const. code but have not decided on the best place to put the year. Could you share exactly how you do this? Many thanks!

Jennifer, Class of is in the Primary Alumni information. It can be found on the Bio 1 tab. Lower right of the screen in the Education Button. in our case we add it right to our constituency "Undergraduate 2006" and do not put the actual class of into the education button until they graduate.

We are a 6-12 school. Once the parents becomes a constituent in RE7 the student information is integrated over as a relationship their parent record with all important data pertaing to that child. School they are in, date they entered, class of, their status. Once the student graduates they then become an Alumni and get their own record which is still linked to their parent as well as thier parent's constituency code changes from current parent to Alumni Parent. So we can still run reports, mailing, etc. based on their students class of. As well as generate this information for just the student since this information follows them on their constituent record. also in that query, ask for son, daughter or child, this way you should not get nieces or nephews.

We are a K-12 Independent School and we do not enter current students as constituents until they become alumni. We enter them as reciprocating relationships (on their parent and grandparents records. We do enter the Primary Alumni Education data with their class year the date entered etc. and can therefore pull just the parents of second graders with the second graders name or pull the grandparents with the grandchildren listed. It is done in two steps first through query and then through export. Hope this makes sense.

When the student graduates we simply check the add as constituent box on the relationship record. This generates a new record with the parents address which we use for the alum until we obtain the college addresses, then both the parent and the college address become seasonal addresses. We link the alum to SHARE the parents address that way if the parents address changes it automatically updates the alums. We keep them link for about 5 years until the alum either goes into graduate school or has a permanent address of their own.

The only tricky thing that has to be watched for is if a student leaves early - but the family still has other children in the school. But that can be managed with the DATE LEFT field.
