    Formal address vs USPS accepted

    Hi fellow Forumites,

    I know we have discussed this in several ways before - but here's a new wrinkle - the question my ED posed.

    Can we keep the USPS address in RE as the preferred and use that for exports for the envelopes and ALSO load a formal address with punctuation etc into RE as a formal address and export that for the letter head?

    Has anyone out in non-profit land solved this problem to have the benefits of both?
    HOW did you do it?
    How do you pull for a big mailing?
    Do you have problems with address changes being entered for both addresses?
    Did you hand load the formal addressess or is there some magic program to do this?

    Any advice would be appreciated!

    Hi Lesle, Depending on the size of your database I would not recommend having duplicate copies of the same address as it would be a huge resource hog. You may be able to get away with it if your db is small but I still wouldn't recommend it. Always assume you will be sucessful and that in 10 years you will have a huge mega million dollar non-profit. Can your db handle that with this structure? Our compromise is to accept abbreviations but to keep punctuation. You can always strip punctuation on export if you need to. If I were to try your workaround I would export the primary addresses you have, change them in excel to the format you want (find and replace would work for much of it) and re-import them as second addresses with new Address Import IDs with a formal address type. If you are pulling for a big mailing you just would select the address type you wanted for that mailing - either/or. Or you could use export and pull them both. Address changes would be a huge bear to manage. Adding new constituents after the initial dump of addresses would also be something you would need to kssp on top of to be sure all new constituents are getting both addresses. Melissa S.
