    Consolidated Receipt Report

    Good Morning

We have printed consolidated receipts for our constituents with recurring gifts.

Does anyone know of a report which will print the following:

    Const. Name
    Consolidated Receipt #
Receipt Amount (ie the total of all gifts printed on the receipt)

I do not wish to have gifts itemized, just one total for the year per person.

I have tried Receipt Report in Mail, Gift Detail and Summary Reports, Cash Receipts, and Annual Statement Report, but they all list each individual gift for the year - pages and pages which I do not need.

Or, will I have to export the total and create something in excel?

    Thanks

You might want to try the receipt report, you'll find this in mail. Zoe LaRocca CMH Foundation

Yes, thanks, I have tried that - and it prints out every donation that a constituent has given during the year, instead of the total which appears on the receipt. AM

n bio 2, in the field receipt type: choose consolidated receipt. This will add the amounts together. I use RE Mail to export my receipts to my own form.

I do have the receipts, but I am looking for a report which states receipt # and Total amount as shown on the receipt itself. AM

You need to ask for the receipt amount from this report. Zoe LaRocca CMH Foundation

I did ask for receipt amount and it still prints out every gift! So there will be one receipt number and 12 gifts print out with the constituent's name printed 12 times! Grrrrrrrrr...! AM

Would creating a query and export using gift summary total work for you? B. Clark

You could create a query and use that to do a quick pivot table to get the summary.
I know it is not the standard report option you are looking for but pivot tables are fast to create. Denise Stengl

EDITED: The problem she woud have with that is that there is no summary total on receipt amount only gift amount. If she needs a total of receipt amount then BB can not accommodate that. A pivot report maybe can but it would not include the receipt amount - oops I mean receipt number). This is definitely something BB needs to work on. Melissa S. I'm confused (nothing unusal there), probably because we don't use receipts or receipt numbers. But what I was thinking is, if all a consitituents gifts for one year have one receipt number, then you pull the constituent name, receipt number and receipt amount into a query (you'll have duplicate names and receipt numbers) and when you put it in the pivot report, the report will summarize (by constituent) the total amounts by receipt number. I was thinking it would be similar to pulling a gift query by gift with batch numbers and amounts and summarizing in a pivot report. I do that each month. So it can't work that way? Thanks for your help folks. I haven't tried a pivot report, but will give it a shot. As Melissa said, there should be a way to summarize receipt amount - as it does when creating a consolidated receipt for one annual total. Many of these standard reports do not give the summary option. AM

Another option might be to use Annual Statement, export to Crystal and suppress the ReceiptAmount field. Michael J. Sherman

I do it the real fun way (for many reasons, but most of all because certain requirements by German laws that make it impossible to do it other ways).

Exports and work is all done in Access. Final EOY reciept is made and printed in Crystal Reports.

    1. Export all the gifts for the Year (2005 in this case)
    2. Export all the addresses
    3. Summarize all gifts by donor (const_id)
    4. Add summarized gift info to address table
    5. Eliminate addresses who have not given in 2005 (summarized from exported gift file)
    6. Join address and gift table in Crystal Reports and layout accordingly...
    7. Print!

Anyhow, I find we have complete control and freedom and surity doing this way compared to doing it anyother way. We know the results match the database with 100% surity, and we know we can deliver EXACTLY what we need to keep the German tax people happy. Thanks, Charlie
