    Birthday Reminders

    Our Exec. Dir. wants to send out cards or call our VIPs on their birthdays. The DOBs are in their records. We'd probably just like to pull these on a monthly basis. Does anyone have ideas on how to do this without a lot of additional data entry? Campaign & Major Gifts Coordinator

    We do this every month. We run a query, an export, and then merge into a Word document report for each of our development officers. The query has the following Criteria: Constituent Specific Attributes Development Officer Description one of … AND (Birth Date equals October OR Spouse Birth Date equals October) The Constituent Attribute field is where we code which officer handles which donor. This allows us to pull just those donors with an assigned development officer. We could use the Solicitor relationship instead, but the attribute is used because we are also coding in that field what type of contact the officer should make. To run it each month I just go in and change the month we are asking for. I hope this helps you.     I've set up a Dynamic query where the constituent Birth Date equals Next Month (any year) or spouse Birth Date equals Next Month (any year). These two criteria are in parenthesis. Then I have an attribute for birthday card list so I can exclude anyone who should not get a birthday card.

    I then use this to produce labels. You can include date of birth on the labels. I print on plain paper and check to see if the addressee is Mr. and Mrs Joe Smith. If it is Mr.'s birthday I'll cross out and Mrs. and if it is Mrs.' birthday I'll write in her first name.

    I give the list to the person who hand addresses and signs the cards. If you save the query and the label form all you need to do every month is run the labels and check the print out. Michael J. Sherman

    Set up a constituent query, cons code or solicit code = VP and Birthday = next month. Run the list at the end of each month. If you have the queue module, you can set it up to automatically run either labels or a report that includes their phone number - the labels/report would automatically be generated on the last day (or what ever day you decide) every month.

    We send birthday cards to our alums and add an action on their record of -mailing-birthday card.

    Birthday Reminders

    I don't know if this is the most efficent way to do this but I run a query and export every month. For the query I just ask for any birthday next month. (This way I have them in time). For the export I ask for name, date of birth, age and constituency code. You could ask for anyting else. Because I export it to excel I can then sort it anyway I want.     I also run queries and export but I take it one step further. I have set up action for our Constituent who want some one in there family, Friend to receive a birthday club. This way if it is a child I don’t have to add a record for some one we will never be able to appeal.
