    Receipt Default

How do I set the default for receipt type? It is defaulting to "one gift per receipt" and I would like to have it default to “consolidated receipt” I have looked for the answer on Blackbaud web site but can’t locate it.

    thanks

Hi Joyce - on the BIO2 tab just below the Target & Income fields upper left; here's excerpt from Help, The Raiser's Edge Help Topics - click on Search tab, enter 'receipts', select from list - I agree that finding info you want within RE or on the Knowledgebase can be extremely frustrating :(

    Available Mail Tasks Receipts

You can use the Receipts mail task to print receipts for every gift you enter in The Raiser’s Edge. Receipts can confirm that you received the gift or help constituents track their donations for tax purposes. When designing the receipt, you can choose whether to print the total gift amount or the tax-deductible portion of the gift. On the Bio 2 or Org 2 tab of a constituent record, you can select in the Receipt type field whether the constituent should receive a receipt for every gift donated or a consolidated receipt detailing all gifts donated within the date range you select on the Receipts mail task.

When you print a receipt, the program can update the gift record with the receipt number and date and change the status of the gift to Receipted. Once a gift has a receipt number and a status of Receipted, the program does not receipt the gift again. When the program adds a receipt number, it does not delete an existing receipt number from the gift record unless the constituent is receiving a consolidated receipt. For example, if you print a consolidated receipt for gifts with a receipt number already entered on the gift record, the program assigns a new receipt number to all gifts that appear on the consolidated receipt.

    I don't have a search tab. Joyce

I am running version 7.71, so all references are within that context: While in RE, across the top menu bar click on Help, The RAiser's Edge Help Topics; within the resulting window you should see 4 tabs on the left side of the split screen - Contents, Index, Search, Favorites...click on Search, then type in the word 'receipt'..it will bring up a list of topics containing that word...about 10 down on that list is just the word receipt; if you select it, it brings up that excerpt I sent to you...but the main thing is that on the BIO2 tab is where you find the place to set the receipt type to consolidated....so now is a good time to ask you what version are you on? If not 7.71, perhaps others with your particular version can assist here...let me know how it turns out :) Jim RE Applications Administrator Wycliffe Bible Translators [Email Removed]

I am also on 7.71 and I miss understood you instructions. I had already done that and those instructions don't tell me how to have the default for consolidated. I don’t want to have to change the receipt type to consolidate on each record manually. I did a global change to all current records to consolidated but on future records I wanted it to default to consolidated.
    Thanks anyway.

I could not find set defaults under tools. I looked in "users Options" and could not find any place to change this default. Joyce

Sorry I was not very clear. Tools Organize/Create Defaults Create Defaults for Individuals New Field Name Receipt Type Consolidated Receipts from the menu Name the default set Save and Close Make sure you load your defaults when adding new constituents. Hope this helps. Anne Marie

Yes I can do it that way but then I have to remember to load defaults for new constituents. It currently defaults to one gift per receipt so I should be able to default it to consolidated receipt? Then I will never have to think about it again!!! No? Thanks Joyce

Should and Could... 2 words very interesting in Raiser's Edge. Yes BB Could give us rights to set up our own default values like Marital Status = Unknown which is our preferred default instead of blank. Should is questionable because they must have some internal reason for using the load defaults instead of allowing us to set up the defaults for fields. I think they chose the load defaults feature because you can set up more than one type of default. Maybe one for single people one for married. Maybe one for major donors one for all others. It would be nice however if you know ALL new records should have something then allow us to make it a true default. So, Joyce - I'm with you. In Config - Fields - wouldn't it be nice to be able to change the default value for something like that. Melissa S. I become obsessed with some things. And this was one, so I guess I will let it go and find something else to obsess about. Thanks for the help, I did learn something anyway. So it was not a waste on time on my behalf. Happy Weekend Joyce
