'Send Mail to' complication in Mail

I'm hoping someone can help me. We just found out that in "Mail/Donor Acknow Letters" the export will skip gift records whose constituent record has 'send mail to this address' un-checked. We did not know this until yesterday. As a result of this, we have a hand-full of donations that were never acknowledged. Has anyone found a way around this? It is our practice to send at least a tax receipt even if they have told us not to mail to them. We think they at least deserve that. The only thing I can think of is to not code the record as to not send mail until after the donation has been exported. There has to be an easier/different way to accomplish this.

Could mark them to send mail and then use a solicit code? I'm thinking something like "acknowledgements only" or something like that, and then you could just filter those out when you run the rest of your mailings... Karen Warr

We also use a solicit code of No Mail. The only mail the donor gets is the acknowledgement and the year end tax receipts letter. We use this on all our one time donors, mostly those who give memorial gifts only. We want them to get acknowledgements but no other mail. Elaine Tucker [Email Removed] Texas Lutheran University

We only uncheck the send mail to this address if the address is no longer valid or if the donor has absolutely stated that mail should NEVER go there. If it is a valid address and they want acknowledgements to go there we leave it checked and use a solicit code of NO MAIL - ACKN ONLY. We then exclude this solicit code from all other mailings except acknowledgements. Melissa S. Check which option is selected on the Ind. Address tab under Step 4 "Specify what happens if no address is found." Try changing that to "Print specific address" and then you can specify an address type to print. On the Org. Address tab, if you select "Mail only to the organization" on Step 1, it is the same thing as above. If "Mail to Contacts" is selected for Step 1, go to Step 3 "Specify what happens if no contact is found." Choose "Print specific organization address" and again you can specify which address type it pulls. Let me know if I am as clear as mud! :) Cara Russell Donor Records Coordinator Hospice of Spokane (509) 456-0438 [Email Removed]
