    Hi

    RE7 Action Note Types

In the past I have kept it to one Action type. There are many 'click-throughs' involved on an Action, and by the time you get to the Notes screen some fields become redundant. We try to keep it as simple, and efficient a process for our development staff, so they are encouraged to use Actions.

We can still query on the Actions based on the Category and Action Type, so we do not lose out on any reporting filters by not adding different Note Types. Amy J. Hever

    RE7 Action Note Types

We just converted recently also. Here's how I'm planning to set mine up. Action Types: This is the reason for the action. My assumption is that most actions are related to the Cultivation cycle because any constituent is a potential volunteer or donor. I am going to track what prospect research is done here as well, although I put the actual profiles in Notes. My action types are: Prospect Research: track what level of research is done when and for whom Cultivation: contact drawing the prospect, volunteer, or constituent closer to the organization Solicitation: Proposals and negotiation Stewardship: Post gift cultivation Constituent Initiated: when the donor requests something or calls us; to track how much contact is coming our way along with how much we contact the prospect/donor. Action Note Types: These are related to the Action types and clarify the action purpose. Action Type: Prospect Research Action Note Types: Full Profile Financials Brief Bio Specific Question Action Types: Cultivation, Stewardship Action Note Types: Board invitation: track when we invite them to join Committee invitation: track when we invite them to join a committee Volunteer invitation: track when we make a specific request for service, other than board or committee Volunteer Service: discussions related to any type of volunteer service with our organization, EXCEPT a in invitation to serve (those are specifically tracked by the above codes) Event Invitation: for one-on-one special events, like dinners, as well as our big events that I globally add as actions General Contact Report: generic cultivation and stewardship conversations; I suspect most contacts will be in this category Action Type: Solicitation Action Note Types: Gift Discussion: to track when we get to that point in the cycle and how long the negotiations last Proposal: track when the ask is made; this is only when a specific ask is made -- otherwise use gift discussion Action Type: Donor Initiated Action Note Types: Can use any of the non-research types, depending on the donor's request or question Christine Mildner Heritage Christian School Hillsboro, OR [Email Removed]
