Gift marked 'Acknowledged'--but no letter was attached!

Here's one that has stumped Blackbaud's own...perhaps you can help: When we enter our gifts we attach a letter, but once in a blue moon we forget to mark which letter. Then when we do our acknowledgement merge, all the gifts are marked acknowledged and we get all our wonderful letters--except one! Is there any way to get RE to catch the fact that we did not attach a letter to a particular gift and notify us? Abigail Clarkson CarePartners Foundation Asheville, NC

If I'm understnding your questions correctly, making the letter field required should do the trick. Jo Ward Neuhaus Education Center (713) 664-7676 ext. 233 [Email Removed]

That's one to consider. However, what happens if we enter gifts that don't get acknowledged, and therefore should not have a letter attached? (An example is employee payroll deductions that we get every two weeks.) Abigail Abigail Clarkson CarePartners Foundation Asheville, NC

I hope I'm right with this but, if you use the letter filter within your Donor Acknowledgement Letters, any not meeting that criteria i.e. your blanks, will not be considered and therefore not flagged as having been acknowledged.

That seems right in theory, but this particular merge is a conditional merge with the letter being the condition...any other ideas? Abigail Clarkson CarePartners Foundation Asheville, NC

We use "None" in those cases. Jo Ward Neuhaus Education Center (713) 664-7676 ext. 233 [Email Removed]

In the filter you select all letters that could meet your merge conditions. Alan

I've amended the merge to include the letters used in the filters tab. As Alan suggests, then gifts without those letters are excluded. I suppose adding a "none" letter and making letter field required would then eliminate our ability to forget to assign a letter and would exclude gifts from falling though the cracks. We will try it, and if we still need help I'll post again. Thanks! Abigail Clarkson CarePartners Foundation Asheville, NC

When I run my gift acknowledgment letters, I do not mark as acknowledged until I have "inspected" all the letters. Then I run the merge again and this time mark as acknowledge. No need to save the second time. (Just a fail safe).
