    Import Address ID

    I am trying to import new student information into RE. I get an error that the AddrImpID has to be unique. When I talked with BB Support concerning this field, they said each record could have the same text, such as Fall03. But the error seems to indicate that each one (of 350) has to be different. To complicate matters, I have a home address and a campus address for each student. What do I need for the AddImpID for each Address Type? I tried leaving it blank, but then I get an error message that the Phone Number does not exist, probably because it doesn't know which address to put the phone number with. Help! Barbara McIntyre

    What info are you trying to import? Are you importing new records or just updating info. already there? AddrImpID is required to update existing addresses, I have an attachment I will email you that was sent by Marsha Wynn.

    Import Address ID

    We use SSN as the AddImpID as well as the PhoneAddImpId. This is the one number that is unique for each constituent. Some educational institutions use an assigned identifying number in lieu of SSN. This number will also be unique to each student. Since we import using the student's SSN, we simply copy this column to the other ImpId columns. Hope this helps.

    I may be wrong but I think it means that for each constituent it needs to be unique. So if you are importing 2 addresses for the same constituent they need to have different IDs and the ID needs to be different from any addresses currently in the database or it will replace that address.     Barbara, Importing addresses and phone information can be a challenge. Melissa is right each address you import has to have a unique import ID number, if you have a phone number associated with that address you need to use the same import id for that phone number (s), email address etc that “belong” to that address. That is how RE tracks them. But this is easy and you can use Excel to create the numbers for you. There used to be a great KB article on creating these id numbers in Excel but it is impossible to find. A note…if you are importing updated phone information for existing records you must export and use the existing add import id for the info you are changing but you are import new records that makes it easier In Excel create a column next to your address field… in the first row enter an id number something like Fall03-0001 then use the “handle” in the lower right corner of this field (it looks like +) and drag the handle down the column and Excel will auto count the fields and you now have your unique address import id’s. If you have phone numbers associated with the address copy and paste the entire column next to the phone numbers and do the same for email addresses if you have those too. Make sure you are on the first field of the column when you do your copy and paste. Now repeat the process for say the home numbers using a different starting number maybe Fall03h-001. The one thing I can’t remember is if you have to “remove” the import ids for the fields that are blank, but this is a simple sort of the column and delete of numbers for the blank fields.
