    Coord. of Advancement Services & IT Specialist

    POSITION SUMMARY:

    Primarily responsible for ensuring the smooth daily operation of all information technology-related functions within the Alumni and Development Office (A&D).  Serve as the primary information technology expert within A&D and as a liaison between A&D and the Office of Information Technology Services (ITS).  While this position reports primarily to the Director of Alumni and Development Operations, the Coordinator is also considered an important member of the ITS team.  Under the direction of the ITS Operations Manager, the incumbent will spend approximately 10 hours per week working with ITS on school-wide matters.  This requirement will vary based on relative workloads of the two departments throughout each year.  ESSENTIAL FUNCTIONS: ·         Oversee the maintenance, enhancement, and upgrades of a constituent database with 13,000+ records, including the collection, storage, and analysis of biographical information. Troubleshoot daily database users’ questions.  Serve as primary contact with the database software vendor.·         Supervise four staff members who handle report writing, biographical information gathering and data entry, and gift recording.·         Serve as liaison from A&D to ITS, overseeing workflow of all technology-focused projects within A&D.·         Develop and implement a proactive training program to maximize efficient and accurate use of the database’s features.·         Manage all imports/exports of data between the A&D database and other databases on campus, as well as other system-wide projects. ·         Implement process for regularly surveying alumni and parents to gather biographical and attitudinal information.·         Work with program directors to develop methods for benchmarking, measuring, and analyzing their programs.·         Ensure clear and complete documentation of all database-related policies and procedures.·         Coordinate with the report writer to oversee a suite of both standardized and customized financial and analytical reports.  Implement a more automated method for generating and distributing reports to end users.·         In coordination with ITS, assist other departments with matters related to administrative systems and data.·         Supplement ITS staff, primarily by assisting school-wide users with related issues involving administrative technology. ·         Assist with office audio-visual equipment within A&D and the Center for Global Understanding and Independent Thinking.  Any required training will be provided.·         Utilize ITS issue tracking system for assignment and logging of issues.·         Work collaboratively with the entire A&D Office, the entire ITS team, as well as with faculty members, administrators, and staff.·         Serve on school-wide committees as needed.·         Work additional and/or irregular hours when required.·         Perform other duties as assigned. QUALIFICATIONS:
    • Bachelor’s degree or combination of education and work experience in related field.
    • Minimum of five years experience in Information Technology, relational database management, and data analysis, preferably in a nonprofit setting.    
    • Experience with Blackbaud's The Raiser's Edge software and Crystal Reports software (or similar reporting software) preferred.
    • Outstanding commitment to high quality customer service.
    • Proven ability to lead a team, motivate employees, and resolve conflict.  Experience directly supervising employees.
    • Expertise in using desktop computers and general administrative software applications.
    • Excellent organizational and project management skills.  Detailed oriented. 
    • Strong written and verbal communication skills.
    ·         Ability to work independently, makes good decisions, and troubleshoots problems.·         Demonstrated ability to work collaboratively as a member of a team.
