Addressee/Salutation

    Addressee/Salutation

    How can I define rule and add globally addressee/salutation in the following conditions:

    Condition 1: Donation was recorded in an individual’s name say Mr. Stephen Khan. He is married which also specify in RE and his spouse name is also appearing under relationship. On addressee/salutation how can system incorporate address/salutation as “Mr. & Mrs. Stephen Khan”

    Condition 2: If spouse is deceased or donor is single, it should indicate “Mr. Stephen Khan”

    Condition 3: If a donation jointly made by Mr. & Mrs. Stephen Khan – the addressee/salutation should indicate “Mr. & Mrs. Stephen Khan”

    Condition 4: If donation is jointly made by two or more brothers – the addressee/salutation should indicate “Stephen & John Khan”

    The above situation is critical when I am inviting them for annual dinner.  Similar situation also occures at the time of sending out acknowledgement.  I am not sure how but can be possible if we create multiple queries and merge them.

    In Configuration, you need to select/format the addressee/salutation (a/s) formats you will use.  After I'd used RE for a while with the defaults I changed and formats to what we needed.  I suggest you check out the User Guide - Configuration and Security Guide - Addressee/Salutations. 

    Briefly, you will need an a/s formated for formal using titles and informal using just names.  Some for couples, some individual only.  When a/s is formated for couples, spouse title/name is automatically incorporated.  If there is no spouse, only individual will appear.  This automatically updates or gives you the option to update a/s when spouse is marked as deceased. 

    The issue is that in your merge document you can only pick one addressee and one salutation type (second choice only merges if first type not on record).  RE will pull that type for all letters, so if you use formal both names and only want one you may have to do some editing of document. 

    FYI, some of types I use (have an addressee and salution for each type): single formal, joint formal, single informal, joint informal, last name-first name, etc.  I have these set to default for new records.  I also have an addressee for fund recognition - how they want their gift to that fund to be recognized. 

    For your "brothers" situation, I don't know of any way to have that happen automatically.  You could use an editable a/s if it happens a lot.  I think it's one you'd have to edit every time.
