How to create a heirarchy on constituent ID

    How to create a heirarchy on constituent ID

    We are finding that when a constituent has multiple IDs, ie Parent, Alumnae, Boardmemeber - we are sending multiple mailings ie newsletters.  Does anyone know of a way to enforce a hierarchy or conditional select on constituent ID so that we only send one newsletter?

    Have you looked at using Constituent Codes and using the Primary Constituent Code? Also, you may want to look at Head of Household processing. I'm wondering if you're running multiple lists and using something like Query as opposed to using a mail process or export  creating one list which could help limit your mailings.

    If you are running multiple lists, I would suggest coding the constituent as each list is run and then using that as an exclusion for the next list. But first I would suggest using the MAIL functionality to handle your mailings.

    Lisa - The first constituent code in the table is always considered the "primary" constituency. If you are using a query to run your lists, then you will get multiple rows for people who have multiple constituencies. Using RE Mail or Export is the better option.

    The segment tab in Mail enables you to Eliminate duplicate mailings to the same constituent record when the constituent is in more than one query.  In addition, you can

  • Include several queries in one mailing without having to first merge them using the OR operator in Query
  • Process the mailing function one time rather than multiple times (e.g. once per query)
  • Globally add an appeal (with a comment and date) to a group
  • Update the No. Solicited field on the Appeal
