My school has used Student Billing for years. However, it just started using the Admissions Office portion of Education Edge. We have current students who are in Student Billing but not Admissions Office because only the new students (who were entered this year) are in the Admissions Office section. Does anyone know how I go about getting all current students to show up in Admissions Office?

In Student Billing, Records, Students, there is an option called Mark for Reenrollment. If you run this wizard for all records, it will create an applicant view for any student record that does not already have an applicant view. When selecting the parameters within the wizard, only required fields need to be completed, so you do not need to change status fields or any other fields of information on the other tabs. You may want to first run this for one record, using the Students filter on the Filters tab, and review the results before running it for all records. Hope this helps out!

I tried a couple of test runs on individual students, like Pam suggested. When I run one that is a student already on both sides (Student Billing and Admission) it creates a duplicate record in Admission. The processing report states it is a duplicate but creates another applicant record anyway. How can I run this so students who are already applicants on the Admission side are not duplicated?

Is it possible the Applicant records that currently exist were created independently in Admission's Office and differs from the Student Billing record?
The system will process duplicates as the Report only shows those records which will be created.

To help with any duplicates that may be created, you can use the duplicate criteria defined in Configuration to find duplicate existing records, by running the Search for Duplicates:
1. From the Administration page, click Search for duplicates
2. Select the type of duplicate record to search for from the drop-down menu
3. To create a query of all duplicate student records, mark Create output query of duplicate records
4. To preview the report, click Preview
5. If no duplicate records are found, based on the criteria set in Configuration, a message appears stating that fact. If duplicates exist, the report appears
6. In the Print Preview it is possible to print, refresh, or send the report as e-mail by clicking the corresponding buttons on the toolbar
7. To close the preview and return to the Duplicate Report screen, click the red X.

We did find that an applicant record already existed in Admissions Office, which was created independently in Admissions Office. When running Mark for Reenrollment for the problem record, select to run pre-processing first. If an exception 'This applicant is a duplicate' appears in the pre-processing report for a record, go to Admissions Office, search for the applicant record, open it and review the biographical/relationship information on the record. If the applicant is not a duplicate, go ahead and run Mark for Reenrollment so that it creates a new applicant record. If the applicant is a duplicate, use Merge Records in Administration to merge the applicant and the student record rather than using Mark for Reenrollment wizard for the record.
