    Database Marketing Administrator position at Operation Smile UK

    Database Marketing Administrator Summary of role Reporting to the Direct Marketing Manager (DMM), the Database Marketing Administrator is responsible for the data entry, analysis and integrity of all donor information for the Direct Marketing (DM) income stream for OSUK. Details of role Strategy • To provide input to the DMM in formulating the DM strategy across multiple media channels. Budget responsibility • Track the status of donor gifts • Logging in of gifts and proper gift coding • Accurately process donor refunds and updates into the database • Adhere to accounting policies and procedures for the proper receipt, acknowledgement, posting and bank deposits for all charitable gifts, ensuring audit trail for all gifts. • Ensure that GiftAid forms have been completed as appropriate and GiftAid is being recorded and tracked Donor database management • Downloading, reviewing and inputting of donor information or donor updates • Print and mail acknowledgements and pledge reminders to active donors • Administrate the correct donor gift set-up in the donor database • Identify and merge database duplications in order to erase duplicate information • Action the regular upload of information on to the donor database • Segment the database and respond to information requests • Ensure the integrity of all related donor information on the database and conduct on-going data clean-up • Provide detailed reports as required by the DMM • Notify the DMM and/or Executive Director of any gifts which require special attention • Contact donors via phone, email or letter when additional information is required • Produce ‘thank you’ letters for donors • To support the rest of the OSUK team when required Other • To undertake whatever other suitable tasks may be required from time to time by the DMM and/or Executive Director Professional qualifications & experience Essential: • Experience of database management • Degree level education Desirable: • Experience of database management in the charity sector • Experience of SQL and/or Raisers Edge Personal characteristics • Excellent interpersonal and communication skills (written and conversational) • Proficient user of PC and MS Office (Microsoft Outlook, Word, Excel, Access, and PowerPoint applications) • Ability to work independently but also thrive in a virtual team environment • Highly organised, detail-orientated and self motivated • Flexible, able to take direction from DMM and prioritize activities • Goal-orientated, able to meet deadlines and complete tasks • Ability to work productively and juggle multiple tasks • Complete dedication and commitment to children and a non-profit mission • International perspective and cultural awareness If interested, please forward CV to Jane.Clutterbuck@operationsmile.org.uk.
