Storing Related Media Files in Constituent Records

    Storing Related Media Files in Constituent Records

    Hi other RE users,

     We're looking into storing things like acknowledgement letters, email chains, and other documents within people's constituent records.  In some cases this would be in the media tab of the constituent record; in other cases it would be in the media tab of the proposal record (so constituent record, proposal tab, proposal, media tab).  I was just trying to upload a multi-page contract to one particular record.  This was an Adobe pdf file.  Whether I uploaded it to the media tab of the constituent record or the proposal record, I could only see the first page of the file when I reopened the media file and scrolled to the bottom.  Did anyone else have this problem?  Does anyone know if RE has limitations on the size of a file that can be uplodaded and viewed?

     I think I just found the answer to this question - you have the check the "save as icon" box when uploading the file.  This way when you open it, the application that the file was created in opens the file.  So you get better viewing quality and you can print all of it if you want.

    Hi Erin -

    You may have already come across this since your post was some time ago, but I thought it would be good to pass on that it does work the other way too. If you leave it unchecked you can double click on that first page that shows in the media window and it will also open the full file (pdf, Word document, etc.) for viewing/printing. I found that it works better for us to do it this way so that users can see the first page of the media without having to open the file, but it isn't as intuitive that users need to click for the rest of the file (like it is when you see an icon) so there is the chance that new users might not realize that there is more than the first page that shows up in the window.

    Erin, thanks for your thread.  I was having the same problem with RE only loading the first page of a multi-page Word document, for example.  Your "save as icon" solution works.  I'm curious how checking that box affects (if it does) the space in the database.  I'll have to find out more.
