If you have the Project, Grants, and Endowments optional module, you can use Transaction codes (also called T-codes) to track transactions and maintain fund balances by and across fiscal years. They are similar to attributes, but the information is carried over to the General Ledger. In GL, you can filter reports by the transaction code to view the activity. What types of activity do you track using T-codes?
We use 3 different transaction codes.
1) CSI Code :Our plant and Property division uses CSI codes (Construction Specification Industry) to analyze constuction expenses by material and services categories; in our previous system, this code was built into our GL account code.
2) Program Codes: our development Office uses this code to track expenses for specific events and programs (e.g., "Family Days"," 25th year Reunion", "Campus Phonathons").
3) EmployeeCodes used mostly (but not exclusively) for travel expenses, this trancode lets us identify who in the organization is responsible for certain expenses.
Using these trancodes has allowed us to significantly reduce the number of items our chart of accounts.
We use transaction codes to code things for cash flow purposes. When it comes time to prepare our cash flow we run a query and use a pivot table to consolidate the data. Its cut prep time for our cash flow from 8 hours down to 1.
