Could I get information on how other organizations do the Family Notification piece with respect to memorial gifts? Is it possible to do so using mail/acknowledgements? Our organization uses both receipts and acknowledgements. Thanks to members of this forum, I now am able to use the acknowledgement function far more effectively. It is only the memorial gift that I am still struggling with. When we get a memorial gift we send a receipt to the donor that includes the line 'we have notified John Doe of your gift'. However, to actually notifiy John Doe, as our receipt indicates, our organization does a manual process. I have spoken representatives at two other organizations that use RE, and neither organization uses RE to generate the acknowledgement letter to the family of the deceased. Our organization does a fairly high volume of that sort of letter and I would like to be able to do it in RE if possible. Does anyone use RE to provide the family notification letters? That is: the letter that says...Mr. Bill Smith has made a donation in memory of ...insert family member name here.
Do you have the Tribute module? If so, there 's a function in Mail called Honor/Memorial Acknowledgement that is for that very purpose.
We do have a function in Mail called Honor/Memorial (actually Honour/Memorial for we are Canadian) and I have looked at it but I'm still not able to conprehend when/where in the process we would add the address information for the family. ie) we get the gift, I create a batch, I add the tribute to the gift during the data entry process, gift is processed, receipt is issued. At no point during that process do I have the opportunity to add address information for the family members receiving the acknowledgement.
On the deceased's record there should be a tab called honour/memorial
Go to this tab and make sure the deceased is checked Constituent is an honor memorial
You may have a business rule that automatically creates a new tribute, but if you don't click New Tribute
Choose the tribute type (in memory of in this case) Make sure that the Gifts may be given to this tribute is checked (at bottom)
There is a section called acknowledgees on this page where you can pull in the relatives or friends that you want to send the listings to. (Make sure they are created as constituents so you can pull envelopes, etc.)
When you get gifts for the deceased these acknowledgees should pull in autmatically when you load the tribute and you can put a check mark next to the names of those you want to receive the acknowledgement. (If you forget to add the check mark - you will get nothing when you run the process form MAIL)
(NOTE: All of this can be done from the Tribute tab on the Gift record because you can link to the TRIBUTE by clicking Tribute and then Go To)
You'lI have to build the relationships on the tribute account before entering the gift through batch.
If you have the tribute module, in mail you should see the Honor/Memorial Acknowledgement.

My-oh-my but that was NOT easy to set up and get working, however, now that it is...it is easy to process our memorial gifts, plus send out the receipts and acknowledgements.
