We are looking for a way to automate our tributes. Currently they are handwritten on pre-printed cards. However, we are getting ready to begin a push online in which we will solicit tribute gifts. This will significantly increase the workload for this task.My supervisor wants us to automate the process but I'm unsure how to do this. The only option I can come up with is to have someone manually enter the tribute information in to a database from which we will generate the cards. We are currently using the Tribute module but do not record multiple tribute acknowledgees. For example: Mr. Joe Smith passes away. We receive memorial donations in his name. The first donation lists his wife, Susan Smith as the person to send tribute acknowledgment cards to. I record this in Joe Smith's tribute record. However, the next donation we receive lists his brother, Brian Smith as the tribute acknowledgee. Once the tribute is recorded in RE, we do not usually go back and enter another acknowedgee if for no other reason than time constraints. However, this will cause us a problem if the above situation comes to pass. How have others done this? Do you go back and enter someone else on the tribute record as an acknowledgee?I’d love to automate this but I don’t know how to.Feel free to email me offline @ rmauder@thinkingoutsidethecage.org
We do our acknowledgments through Honor Memorial Acknowledgements in mail. I have set up the letter so that as long as there are no more than ten donors to a particular tribute all of the donors names and addresses merge right in the letter. You can also set it up to print on cards (by chainging the paper size and type in word) if you want.
If there are multiple people to notify, I enter all of the relationships, and link them to the tribute as an aknowledgee. I usually don't try to figure out which donor wants me to notify which family member. I just send the same list to all of the relatives. You can do this however by checking off only the relationship that you want to notify when you enter the gift. It is very similar to donor acknowledgement letters in Mail. If you understand acknowledgement letters in word, you should be able to do this.
