Wrong Event Info is Exporting

    Wrong Event Info is Exporting

    I want to export information about 1 specific event from my constituent export.  The criteria I've used is set to export 1 event, any type, but I've specified a specific start and end date (the one day of our tournament).  For newer participants this is pulling fine, but ones that have participated in more than one event it is pulling info from an old event that has no start or end dates associated with it.

    Why when I have asked for specific start/end dates is it first pulling info from something with no dates? Obviously I can easily fix this by adding dates to the older event, but I still think when I ask for one specific day it should only pull records from that one specific day.

    Am I doing something wrong in my export or is this just some flaw?

    Hi Erin,

    I've never really been able to filter events properly by using start and end dates. Although it's not a brilliant solution,  a quick fix for a one-off report would be to change the type of event to something unique (eg the event ID) and then in the export filter on that event type.

    I've found that when I need to export Event information that exporting from the Participant file works better for me (Constituent file information is available in that export). One of the other solutions would be to use the Event Type field and have a unique event type for the event you're pulling information from.

    One other thing to look at would be the version of RE you're running and to see if this was a bug fixed in a later patch or version. I'll test this in a few minutes on my system to see if I have problems.

    I tested it in my system and it worked using the date - I did have a query in it limiting it (so I didn't query our whole database) Did you have it limiting it to 1 event in your export?

    I was using a query of just that event.  I think making a unique event type for each event would solve the problem. Just realizing I should have used a participant export and not a constituent one but for some reason I thought since you can't output relationship info in a participant query I wouldn't be able to do so in a participant export but I see now that you can.

    I remember when I worked with events many eons ago we had this exact same problem. Where a constituent had attended more than one event and where some of the events did not have a start or end date we would often pull the wrong event even though I would specify the exact date of the event that I wanted. This was such a pain that we decided to make the start and end dates mandatory fields (we may have used some VBA code to do that I cannot remember if it can be done in Config or not). For some of the really older events we just globally added dummy dates as we didn't really know when they were and that help solve that problem.

    I agree the start and end dates don't seem to function as I think they should.  First of all if the date is blank I don't think it should pull in my results when I specified a date.  Also, if I put in a start date I would expect it to pull all events after that start date, but mine isn't doing that.  My dates had to match exactly to the dates on the event record in order for the event info to be pulled.

    Thanks David - this is exactly what I'm talking about.  I just went into config and was able to make the start/end dates mandatory fields and I'll do a global add too - thanks for the great solution!
