Using a query in Mail

    Using a query in Mail

    Hello,


    When you are setting up labels or letters in MAIL and you choose to use a query for records to include - Do you need to go and update the query first each time you want to run the label or letters?  Or does running the labels/letters automatically update the query for you?

    My experience has been that the query is 'automatically updated.'  The queries I use for letters/envelopes etc are generally dynamic.  Would have to test with a static query to see what happens with that type.

    It depends.  Queries can be created as dynamic queries or static queries and either one may be appropriate depending on the situation.  Dynamic queries will automatically update but static queries will not.  What kind of query are you using?

    Hi Cindy.

    We always use dynamic queries for our label and letter functions through RE Mail. You want RE to pull the current information, and if you use a static query any address/name or salutation changes may not be captured unless you refresh the query before hand and that is an extra step you may not always remember to do.

    From my experience, the only time you would use a static query is if you don't want the criteria output to be updated, say you are doing an event based on constituency codes, by using a static query of specific records or specific codes query will always have the same constituents in it. Static queries have to be refreshed, running them does not refresh them.

     Dynamic queries are the way to go.  It will automatically update this way and everything is current...of course, static queries have an excellent place as well...but not with the phrase "automatically update."
