    RE for database management

    I are looking for users that use the RE database to manage records for non-donor related people. Tracking  programs, registration for events, invitation lists and RSVPs, and general database needs. We have the prospect and membership modules but not the events or volunteer. I am looking for ideas on managing records, coding with constituent codes or flags. If you are doing this, please let me know what fields you are using and how it is working. Thanks!

    Hi Sarah.

    We have tens of thousands of constituents in our database who are not donors. We manage these records with constituency codes and attributes, very successfully. We use the codes and attributes to invite these folks to events, programs and for all our general mailings. We use the following guidelines:

    Who is in Raiser's Edge and for what reason: 

    Primarily, people or organizations in Raiser’s Edge are donors, however, we also use RE as our mail management system, which includes advisors to funds, contacts for designated funds, prospective donors, grantees and or people we want to have information about MaineCF.

     

    As non donors are entered in RE keep in mind why they are being added, using our constituency code list see what category these persons or organizations fall into.  For example, are they an attorney, vendor or a Foundation.  Below is a list of constituency codes with descriptions, which is subject to change.

     

    Note: If you are adding new prospects to RE don’t forget to add the prospect code on Bio2 as well as their status (active or cultivation). Adding the information on Active prospects without adding the information onto the Bio2 tab means they will not be pulled for mailings.

    Here you go. There are many codes, but we use them as a way to group folks and it is easier than attributes for the most part.

    Hi Karen,

    This is a great list! We do the same at the AVMF to track what the relationship is to the donor, how they reached us, etc. This is a crazy question, but how did you get your list? I can't seem to be able to extract my list of constituents.

    You can print any table in RE - go to Configuration, click on Tables, from the file menu at the top, click on print, then print preview, code tables and select the tables you want to print, click preview and make any notes on the Format tab.
