Post Reports - do you keep them?

    Post Reports - do you keep them?

    We've been printing off the post reports each time we post.  In an effort to reduce paper began exporting them as a pdf, but no one ever goes back to look at them...

     If we need to research a transaction it's usually done with other reports.

     Do you keep your post reports or toss them?

    any post reports generated from GL, AP, PO, Allocations module, payroll.

    You get them whenever you post anything.  When we first got on FE the trainer recommended that we keep them as that was the only time you could get it in that format.  We went live 4/05 and no one's ever gone back to look at them.  the file cabinets are full plus a small tree has died.

    If it fits in another category, I would appreciate moving it - just let me know where to look for it at.

    Hi Cheryl!

    If you ever find yourself second guessing whether or not to delete a report, definitely save it. But maybe you can delete the reports after a set range of time. For example, keep the reports in a specific folder and delete all of them as they reach the two month range. Keeping the post reports are definitely an organization decision. But rest assured, if you ever need the report again, you can always go back to a batch and print a batch report which is pretty much the same as a post report. You can do this by going to the batch and selecting File > Preview. Hope this helps!! Have a great weekend!

    I export them in an adobe format and file them by type of post report for each fiscal year.  That way they are available for the audit if necessary.  After you close your year, you can keep them for a year or two or simply delete the files.

    That's what we do, we copy the post report to a adobe file and then every so often we make a CD of the files and then delete the original.  We never print out the post reports but save them to a file that gets backup.

    I am Harry Jellinek from the National Down Syndrome Society.  We print post reports.   We do not print the general ledger.

     We do keep them and file them with any backup documentation.  Per our auditors, we can trash them 3 years after the audit.

    We use batch reports for the auditors, we have never printed a post report.  We rely on the reporting feature to provide the auditors with all details, so far no problems.  Saves a lot of space/paper.

    At AIDS Help in Key West we stopped printing the Post Reports for A/P, A/R and Bank Cash Management.  We do print the Post Report for Journal Entries in G/L and file by month with supporting documents.  The auditors are interested in the documents supporting A/P, A/R and banking, not the post reports.  In the event you did need a post report printed for the auditor, you could find it under Journal Entries by batch number and do an ad hoc print of just what was needed.

     I find the batch validation report reports on the screen to be a useful review tool before posting, but rarely print these.

    Yes we print the post reports. In the past I was having software do my backups at night and I would look at the reports and it said they were fine. My system crashed and I lost 3 months of data and since I had the post reports printed it was very easy to rebuild my system. Now I back up my system myself ond DVD daily.

    We don't print or keep ours.  We create our JE's in excel and upload into FE so that stands as our backup.  We've never had an auditor issue.  We run transaction detail for them at year end anyway.

    Want to thank everyone for their responses.  We've decided to not print them nor are we saving electronic copies.

     We've found that we are doing very few general journal entries and use the modules for the majority of our transactions.  We are also backing up everything nightly.  Heaven forbid that the systems go down, but we've re-examined our supporting paper trail, so I think we could easily and quickly recover.

     Auditors prefered that we print and email them the journal reports and so we did them as they were requested.
