Is there any one out there that is using RE for fundrasing data and Colleague for Registrar's office, and would like to share how you are integrating the two? Please respond here or you can email me at: schoolsb@emmanuel.edu.

We use RE & Colleague but the 2 are not integrated. Three times a year we extract the newest graduating class from Colleague, massage the file for import into RE and import it. Rarely are updates made to student records in Colleague once the students graduate. The Institutional Advancement office keeps the latest and greatest addresses and phone numbers and such info. It doesn't get passed onto the Registar's office. Money that comes into the Institutional Advancement office goes into our Foundation which is separate from the college's accounts so there is no cross-posting going on there. We just don't have the need to integrate them at all.
I know it doesn't answer your question, but I thought you might like to know that you may not have to integrate depending on your institution's practices and expectations. And we haven't even looked into it. It's a non-issue on our campus.

We also have the same situation as Laura. We've got both but they're not integrated.
We do our export of graduates each January and May - do a ton of work on the file and proceed to import. We then house the most current information.
Our current issue is to do with parents - prior to this they were always nonconstituents, unless they'd donated, but now the university is considering tracking them more while the student is enrolled...so we might begin importing them as full constituents.
It sounds cumbersome to many people, but it works OK. Not the best, but pretty well.

We are new to RE and have Colleague, but have been unable to get an export from Colleague. Does anyone have an easy to follow extraction procedure that I can use to get the data from Colleague?

We were on Colleague a couple of years ago before going to Jenzabar, so if you are on R18+ I'm not sure if there is still the option to create i-descriptors. I have a mapping doc I have created that you can see what columns can be imported and what needs to be hard coded. You would then just need to extract those columns from Colleague to match those in RE. If you would be interested, please email me and I will send it to you.
I'm not sure if it is exactly what you need but it should help.

Helen, i-descriptors in R18 are now computed columns, same thing just a different name. ;-)
Danielle, we have a small program/paragraph that we run to get the data we need from Colleague which creates a text file. That file gets massaged for import into RE. What you need to do on your end is figure out what data you want and then talk to someone who knows Colleague on your campus and have them pull the info. You could also ask this person (once they have an idea of what you are looking for) if there is anything else that you hadn't thought of.
I work in IT. I run the export process from Colleague. I used to massage the file and import into RE as I was the technical person for RE on campus. Institutional Advancement now has 2 people in that department who do the importing and reporting and such so I just pass the text file onto them and they do the import. They do not have the necessary access to Colleague to run the file themselves (I may have to see about changing that) nor do they have the ability to write the program/paragraph in the first place.
I think I have my old instructions on how to import floating around. If you are interested, let me know.

For anyone else who may be interested, I've been corresponding off the forum with Danielle. It seemed easier but it can be one of my pet peeves. I sent her some tips on extracting from Colleague as well as the steps I use to import into RE. If anyone else is interested in the info, let me know and I'll pass it along.

We are new to RE and have been looking for best practices as well as the specific fields used by our colleagues to import graduates data from Datatel to RE twice per year. I have been reading the posts, particularly those written by Laura and Helen and was wondering if either of you had an import document that you wouldn't mind sharing. Also, Helen, I believe you mentioned that you "massaged" some of the data from Datatel before importing it into RE; could you please describe what that means-is it a formatting issue, perhaps? Thanks, everyone!
It has been a while. I can send you my original mapping doc if you email me . If not feel free to contact me. Also I use to import the socials from RE just to see if a record already existed but you have to format it to use with the SSN.XREF file (no dashes).
