    Foundation Systems SpecialistPosition Description 

    This position will report to the Director of Annual Giving & Foundation Operations and work with the Executive Director to develop sound policies and procedures for gift processing, constituent management, coding, data entry, and gift acknowledgments.  The position will also lead prospect research and recommend solutions and best practices to organize the prospect research capabilities of the department.  The Foundation Systems Specialist will provide operational support to users and manage data retrieval and reporting from the Foundation’s database and work with system consultants and software vendors as required. The Foundation Systems Specialist will be responsible for gift processing, importing data from external sources (web sites, spreadsheets, etc.) into RE.  The position will also be in charge of the Foundation’s web site and work with the marketing department on its accuracy, content and online donations capabilities.

    ResponsibilitiesExternal· Maintain knowledge of technology developments with Blackbaud Raisers Edge system and, as requested, in other areas to identify potential uses. (e.g. web technologies, integration opportunities, etc.)· Review invoices and products from software vendors, confer with leadership about best use of budgeted dollars.· Liaison to service vendors- mail house, address updating, screening services, etc.· Liaison to IT services for database issues- upgrades, special projects, or performance issues. Ensure Gift Entry & Database Integrity· Process all gifts daily and coordinate merging of donor gift acknowledgements for specific funds and campaign.· Conduct weekly and monthly audits of data to confirm use of accurate entry processes.· Identify and eliminate duplicate records.· Complete annual archive of records with no activity in prior 60 months (or as your policies dictate).· Maintain users and security settings for the system.· Produce or support verified month and year-end membership and development reports.· Reconcile gift data with finance deposits at month and year-end. Maintain Efficient Database and Operations· Ensure the database and operations support departmental strategies – “translating” fundraising strategic goals and tactics into operations.· Manage all existing codes and tables; create new values when needed to meet new                    strategies.· Periodically eliminate obsolete query, export and report parameter settings.· Conduct all global changes and/or data imports to maintain data. · Develop gift entry policies and procedures for department that supports existing and new operations.  Periodically assess these protocols.  Support Production of Complex Outputs· Support the production of standard and custom reports (weekly, monthly, on demand) – work with consultant and other staff to identify standard reports that could be run by staff on their own – be point person for custom reporting requests.· Responsible for assisting users when they query and export records for newsletter, membership appeals and special appeals.· Create and maintain mail merge acknowledgment letters for acknowledgment of gifts. Support Users· Provide ongoing assistance to users – encourage use of vendor’s technical support, but where questions are dependent on knowledge of your particular configuration, support from the FSS is necessary.· Ensure that process documentation is kept current and is easily accessible.· Develop and deliver targeted training to current and new users . Qualifications 

    Bachelor's degree or equivalent experience and 4 years of database management experience in a nonprofit environment, with knowledge of Raiser's Edge 7 functionality; demonstrated knowledge of relational database management and working knowledge of Microsoft Access and Excel; strong analytic, organizational and communication skills and ability to manage multiple tasks.  An appropriate sense of humor is also important.
