Workplace Giving - Pledge Envelope Clean-up

    Workplace Giving - Pledge Envelope Clean-up

    I am curious to know how users of the pledge envelope input in Workplace Giving deal with the old envelopes .  We have several years worth of pledge envelopes in the system and I wondered if I needed to clean them out.  If you do delete them, is there a way to do this besides one at a time?

    What do you mean by pledge envelopes in the system? Appeals?  No you would not delete them - you would inactivate them.

    I am assuming you are talking about Pledges (The actual envelope is the hard copy you keep for audit) and what to do if someone does not pay off their pledge. I would NEVER delete a gift or remove it from the database so that you have an accounting record.

    If someone does not pay their pledge and you have a write off policy in place that says it's ok to write the pledges off as bad debt - then that is what I would do. If you have a large number of these there is a function under administration that can be used to globally write off multiple pledges instead of doing them one at a time. I would be very careful using this function.

    Hello Brenda,

    You can delete pledge envelopes if you would like.  This must be done one envelope at a time however.Blackbaud recommends you do not delete the pledge envelopes because it can cause the Campaign Ranking Report to be incorrect.  The Campaign Ranking report will show the amount of employee giving and the amount of corporate giving based on the pledge envelope.  If the envelope is deleted the correct totals will appear but the % total for the envelope will be 0, since the envelope has been deleted.
