Our Promotion Schedule works great for when all 1st graders need to be promoted to 2nd grade, for example. However, what do you do when preschoolers could go to another year of preschool or half-day kindergarten or full-day kindergarten? The promotion schedule can't handle these situations automatically, so we've been dealing with this group on a case-by-case basis. Any other solution here?
Additionally, when we handle all of these students manually in Admissions, because all of the student progression entries in Registrar's are driven by the promotion tables when you run the "mark for re-enrollment" wizard, these students don't get the appropriate student progression entry in Registrar's. (They get the correct student progression entry the first year only because the "enroll applications" wizard assigns the student progression entry based on the "grade apply" field in Admissions rather than from a promtion schedule.)
Unfortunately, the student progression entries are not available in Admissions, nor do our Admissions people really even know much about the student progression entries because they are created automatically behind the scenes by them when they run the "enroll applications" wizard. I suppose I could give them some limited rights in RO and teach them how to update there, but that seems really clunky.
Anybody have any solutions to this problem?
We have the same situation for various grades in 2 of our buildings. We set up the promotion schedule to default to the "majority choice" for most cases and then our school-wide Registrar consults w/ Admissions and/or the Principals for the correct information to manually override the exceptions. Before we run end or year processing, we run reports in RO to confirm all students have the correct [sometimes adjusted] progression entry. (It ends up looking alot like how you process students who are repeating a grade.)
We have the same issue with those students who repeat a grade. That happens just a handful of times so like the message above we set the rule to handle the "majority" of cases. I would suggest that if you do have a group of the students that need to have a change made to their progression entry would be to use the query/student records combination were you run the query with those students and then open the records from the query and change them there that way you can just click the blue arrow to go to the next record. It is at least a quick way to make the manual changes.
