    fund numbers in RE

    We are running out of fund numbers in RE.  Is there a way to reuse fund numbers in RE (aka project numbers in FE) after they have been inactive for a period of time.

    I find it hard to believe that you really have 111,111,111,111,111,111,110 different funds on your system.  If my (rather hasty) calculations are correct, that's the number of possible fund IDs using only the digits 0-9 (taking into account that this is a character field, so "1" is different from "01").  Note that this is a character field, so you aren't even limited to the digits.  I did a test and was able to create a fund with the ID "a-!@#$%^&*(){}[]?+/=".

    I would not recommend reusing a fund, because you won't be able to easily distinguish between gifts to the old fund and the new fund.  Take a look at how you are assigning Fund IDs and see if you can loosen it up a bit to allow at least alphanumeric IDs.  Also, these are for your purposes, so don't let Finance dictate how you can set up your funds (projects).

    PS:  The actual limit on Funds is based on the Fund System ID which is limited to 2,147,483,647 (the positive integers [using 4 bytes]).

    HI Drew-

    thanks for your reply.  Its my understanding that all the gift activity is attached to the fund number and was hoping that someone could confirm that.  The gift history needs to be maintained, so I have suggested that we consider moving to a 5 chracter system (we currently use a 4 character system).  An alphanumeric system might work.  Do you know if we would have to update our reports/input screens to allow 5 characters or does RE automatically allow that?

    RE supports up to 20 characters.

    We have an annual fund we use every year. I attach a specific appeal to the fund, when reporting I'll pull on the fund, date period and appropriate appeal.

    Fund is a required field on every gift so yes, in that way all gift activity is attached to a fund. 

    Our Fund IDs are alpha numeric and are all around 10-15 characters.  All reports work fine.

    Also, the Fund ID field you see is not the Key field for linking the gift to the fund.  Therefore, you can change the ID on a fund record and it will change the Fund ID on every gift in RE with that fund.
