    Acknowledgement Letter Tracking

    Hi,

We are having a very difficult time once the letters come out of RE how to ensure that letters are checked and sent. Our process involves Gift Officers review and modifications by our communications department and keeping track of all these has been difficult. Anyone have a good way of tracking Ack letters?

    Thanks,

    Lisbett

    Re: Acknowledgement Letter Tracking

    Lisbett,

At a previous organization, most gifts were processed using a gift entry form which would also server as a trafficking form.  There were sections for new cosntituent, gift (appeal, package, solicitor, fund, campaign, apply towards pledge/proposal, etc.) and trafficking information.  The bottom section was reserved to copy the check.  As the gift was recieved, entered in RE, acknowledgement letter printed, signed and sent, we would date an initial.  It worked well.
