No Valid Address in RE - and Linked Records in EE

    No Valid Address in RE - and Linked Records in EE

    I'm doing some address clean up - and have stumbled across a conundrum. I have non-custodial parent addresses that have mail being returned. Can't get an updated address from the spouse. So - rather than delete the record, we've marked them in Raiser's Edge as "has no valid address"
    But what happens in EE? Next time we synchronize - the EE record should be updated - but for the life of me - I can't figure out where that note would appear in the record.
    When I searched Knowledgebase to find out how to mark a record as no valid address with Registrar's Office as my selected product - I got results that relate to Raiser's Edge.
    I suppose I could create a new address type called  "No Valid Address" - change the bad address in EE to that type - and then on the next synchronization - the preferred address in RE would be the type of "No Valid Address"
    Hmmm - isn't there a better way to do this?

    Candace, the workaround we came up with was to annotate the record in EE without the address, explaining the reason that the record has no address, and then set the annotation to appear whenever the record was opened.  This has also been helpful for explaining "messy" family situations, i.e. where we have the address for both spouses, but one spouse is not supposed to know the address of the other spouse, etc. It doesn't help with regard to queries, but it does provide some additional documentation for users.  I always include my name in the annotation, so future users know who created it, and also the name of the school personnel who provided me with the information used in the annotation.  That way they can always confirm for future users if there have been any changes to the family situation.

    Hmm - so it looks like I'm going to have to put a process in place to check for records linked to EE that have been marked as No Valid Address in RE - and manually do the annotation. 
    I'll also mark the address using an attribute - although that doesn't always seem to stick when I run export.

    Here is an excerpt from our Invalide address Policy & Procedure

    For integrated records - EE/RE 

     

    Invalid address means the person is no longer at this address and Shipley does not have a new address, i.e. lost. This address cannot be in the RE Bio 1 because of reporting issues. (since Bio 1 synchs to EE this applies to EE also)

     When an address is determined to be “invalid” the Data Coordinator will do the following:1.                   on record in EE make an annotation which reads:  NO VALID ADDRESS - MARKED NO MAIL IN EE - (primary home address is blank; last known address is now former address – RE has been notified) Date and initial annotation2.                   Change Home Address to Previous Address (mark no mail)3.                   Create new Home Address and mark as “primary address” and no mail

    4.                   Notify RE of the record(s) marked No Mail in EE.

    5.         The new blank home address will synch to RE.

    6.          RE must then mark the home address as primay adn mark "Send No Mail"
