I'd like to know how everyone deals with requests from constituents who wish to receive their email at a specific address, when it is different from their preferred mailing address. For example - the constituent receives their mail at home but wishes to receive their email at their business. (In their record, we often have both home and business emails for them, so this is about figuring out which to use - being able to identify those who have given us a preference.)
For mass emails, we have Groupwise (not Outlook) so I have to export the email addresses out into excel and sort them by priority, then paste the addresses into the email. Currently I do this by using an email type called "Preferred". This way I dump out each address type with its own column, with "Preferred" being the highest priority.
Our Data Integrity person has suggested that we do away with "Preferred" and keep all home information together and all business information together. If we do that, we can't honor requests like the one above. (If the person is receiving mail at home, they must receive their email there too, since there will be no way for me to know what their preference is.) Her feeling is that having the Preferred type is untidy and causes double entry (which it does, since the Preferred type is usually the home or business email address, and they are each labeled with a type.)
On the plus side, doing it this way makes for quick sorting for mass emails, and keeps reporting clean and easy. Most importantly it allows us to honor the wishes of the constituent. So we're at a bit of an impass.
Can anyone offer any thoughts or suggestions?
Not an easy task, the way RE handles Emails. I think the easiest way would be to have an Email type called "preferred email".....If they don't have a preferred, then you defer to Email, Email2, etc. This is assuming you're using Mail or Export for mail processing. It probably would not work as well in Query.

Which is kind of strange because the main e-mail address that we use becomes known as "preferred preferred e-mail" (i.e. preferred e-mail address that is attached to the preferred mailing address).
The way our database is set up, the preferred address holds all of the phone#s and e-mails (work, home, etc) and any other addresses are used for paper-mail or not at all.
