Optional Module Monday: Events

Gatherings, shindigs, and hootenannies don't come together by accident; they are the result of meticulous planning. When it's time for your organization to organize a special event, you can use the Event module in The Raiser's Edge.

Event management in The Raiser's Edge is divided into two parts. The first part entails creating an event record and adding the elements that make the Event what it is. This includes selecting the Event category (Sporting Event, Dinner, Class, or Other), setting a date, determining the number of attendees you can accommodate, and defining the expenses involved with the event.

The second part involves adding Participants to the Event. If you are sending out invitations to an event, you can track participation from invitation through response, registration, and attendance. The participant record is the place to track fees associated with each registration and to add guests.

To add an Event, go to Records, Events and click New Event. You can then add participants by going to the participants tab and clicking New Registrant. In the participant record, you can either browse your database for a constituent to add as a participant, or add a non-constituent participant. Tips and Tricks: Reporting Total Foursomes Using the Events Module

How frustrating is it to track the total number of foursomes in a golf tournament using The Raiser's Edge? Several methods are used by the various organizations. The following points assume you have the RE:Event module for The Raiser's Edge. This works for registrants and sponsors within the Participant tab.

1. Enter a foursome as a price unit on the Prices tab in the event record. Then add this as a registration unit (under the Registration tab) in the participant's record with the appropriate number of units.
2. If it's possible to have two companies split a foursome, add a half foursome as a price unit on the Prices tab in the event record. Then add this as a registration unit in the participant's record with the appropriate number of units. Then join the two companies together using the "Seating Group" dropdown box on the participant's record.
3. If half foursomes isn't your cup o' tea, then consider using some sort of comments or attributes within the participant's record. This will lead to queries and possibly custom reports (depending on how nice you want the output to look like).
